The procedure for understanding the needs and expectations of interested parties (meaning stakeholders and those with an interest in the business operations) is:
1. Through workshop with sustainability team, complete an interactive exercise to ‘determine interested parties that are relevant to the management system, their requirements (stated, implied, obligatory) and their interest in the identified or emerging sustainable initiatives’
2. Use of ISO 20121 list of interested parties as a reference to check if all interested parties have been covered
3. Support from all departments to complete stakeholder list to check all types of interested parties have been covered
4. This procedure will be implemented and reviewed annually during the sustainability team workshop
The procedure for the engagement of interested parties on the identified and emerging sustainable development issues relating to its role in the value chain of events is:
1. Identify an email address which can be used for communications referencing sustainability
2. Send communication out to interested parties asking them to share their requirements or needs and expectations whether stated, implied or obligatory (using the policy as a communication method where relevant) and their interest in the identified or emerging sustainability issues
3. Document the outputs from engagement with interested parties
4. Review of communication received from interested parties which could influence issue identification and evaluation
5. This procedure will be implemented and reviewed annually during the sustainability team workshop
