Communication

The procedure for communication is:    

1. Through a workshop with the sustainability team refer to the list of interested parties (including suppliers) and identify external communication methods already in place which could be used to reach this group, and determine the need for internal and external communications by asking the following questions:

  • What will be communicated?

  • When will it be communicated?

  • With whom will it be communicated?

  • How will it be communicated?

2. Liaise with relevant staff member (e.g. marketing and communications person) to gain their input and expertise

3. Top management, sustainability champion and through meetings with the sustainability team identify who will be responsible for maintaining and implementing the actions required for external communication to relevant suppliers and other interested parties

4. Through a workshop with the sustainability team identify the most effective means of communication, taking into account the interests and input from the different interested parties

5. Through a workshop with the sustainability team an interactive exercise to identify the communication content which shall include, where appropriate:

  • The organisation’s governing principles of sustainable development

  • The purpose of the event

  • A system for managing improved event sustainability

  • Issues, objectives and targets (Note: the issues should be shared to gain feedback from interested parties and outputs from the issue identification and evaluation procedure should be documented, kept up to date and shared with relevant interested parties)

  • Guidance, best practice for achieving objectives and targets (Note; this could also include requirements to meet legal requirements)

  • Relevance to interested parties

  • Progress in relation to performance (Note: this could include the sharing of monitoring and measurement in case study or GRI reports)

  • Feedback from interested parties/stakeholders

6. This procedure will be implemented and reviewed annually during the sustainability team workshop
