The procedure for monitoring, measurement, analysis and evaluation is:
1. Through a workshop with the sustainability team an interactive exercise to determine:
What needs to be monitored and measured
Methods for monitoring, measurement, analysis and evaluation to ensure valid results
When the monitoring and measuring shall be performed
When the results from monitoring and measurement shall be analysed and evaluated
What documentation should be retained to be appropriate for evidence of results
2. Through regular sustainability team meetings evaluate the event sustainability performance and the effectiveness of the event sustainability management system. Through regular sustainability team meetings:
Take action, where necessary, to address adverse trends or results before a non conformity occurs
Include the documenting of information to track performance, relevant operational controls, conformance with the organisation’s objectives and targets and evaluation of compliance
Identify lessons learned from each event and feed the acquired knowledge into the planning and delivery of future events/event related activity to improve event sustainability performance
Identify how to make the lessons learned available to interested parties
Identify how to ensure equipment provided by the organisation and used for gathering is, where required or practical, calibrated and maintained (and documents of this process retained in accordance with the organisation’s procedures.
3. This procedure will be implemented and reviewed annually during the sustainability team workshop
